PAYMENT GUIDELINES

To ensure the smooth operation of the school and effective planning for each academic term, UST maintains clear and consistent payment procedures. Timely payment of tuition and fees is essential, as it directly supports staffing, resources, and the overall learning experience for all students. The following guidelines outline our expectations regarding deadlines, payment methods, enrollment commitments, and related policies. We ask all families to review these carefully and adhere to them throughout the academic year.
Deadlines
UST requires all fees to be paid in full by the due date stated on the invoice. Invoices are issued 7–8 weeks before the end of the preceding term. Parents remain responsible for ensuring timely payment, even when a third party (such as an employer) is making the payment on their behalf. Students whose tuition has not been settled by the start of the following term will not be permitted to attend, and their place may be offered to a student on the waiting list.
Fees for the new academic year must be paid by April 25. If payment is not received by this date, the school will reallocate the student’s place to another applicant without further notice.
All payments must be made by bank transfer under the student’s name.
Joining Fees for New Students ​
To secure your child’s place at UST, all Joining Fees must be paid within one week of receiving the invoice. Failure to make payment within this timeframe, without prior communication, will result in the withdrawal of the admission offer.  Once paid, Joining Fees are non-refundable.
Re-Enrollment Fees for returning students
Students who leave UST and later re-enroll are required to pay the Registration Fee as part of the re-enrollment process. The Development Fee will be waived for students who return within three academic years.
Late Enrollment
For students enrolling after the start of the academic year, tuition and bus fees are charged on a term basis in line with the school’s three-term structure. Fees for partially attended terms are not prorated and must be paid in full prior to the student’s start date.
Refunds
  • The 25,000 yen Application Fee is non-refundable. 
  • One-Time Joining Fees are non-refundable.
  • First-term tuition and annual Maintenance fee are non-refundable.
  • Tuition for partially attended terms is non-refundable.
  • Tuition refunds are only issued if a term is fully unattended and proper notice has been given.
withdrawal and Notice Period
  • Parents who wish to withdraw a student from the School during the academic year must provide at least one full term (minimum three calendar months) of written notice. If the required notice is not given, one full term’s tuition fees will be charged in lieu of notice.
  • Families who do not intend to return for the following academic year must notify the School Office in writing no later than April 25.  After April 25, the School will have commenced staffing, budgeting, class placement, and resource planning for the upcoming year. Accordingly, withdrawals received after April 25 will incur a charge equivalent to one full term's tuition fees.
  • Requests for recommendation letters must be submitted through the school office. Please note that report cards, recommendation letters, transfer documents, and official school records will only be released once all outstanding fees have been fully settled.
Withdrawal Procedures
  • Once the Withdrawal Form is submitted, the student's place at UST will be released on the date specified on the form.
  • An official request must be submitted to the office to obtain a letter of recommendation or school records. These documents will only be issued once all outstanding fees are paid.  Please allow two weeks for the preparation of these documents.
Late Payments
In cases of late payment without prior notice, students may not be permitted to attend classes, and the school may withhold report cards, transcripts, recommendations, and other official records. A weekly late fee of 10,000 yen will be applied to all overdue balances.
Scholarships and Discount Validity
Scholarships and discounts are granted for one academic year only. Renewal is subject to satisfactory student progress and a reassessment of the family’s financial circumstances.
Changes in Fees/Tuition
Fees and tuition are reviewed annually and may be adjusted based on external factors (such as inflation or changes in government tax) or internal decisions made by the school.
